UT GivePower is a student organization at The University of Texas at Austin. This policy explains what we collect, why, who it goes to, and what you can ask us to do about it. It describes how the site actually works rather than what is typical.
What you give us when you sign up
Creating an account requires your name, email address, and a password. The password is handled by our authentication provider and is never visible to anyone in the organization.
The signup form also asks for a few optional things, which you can leave blank:
- Phone number
- A role you are interested in
- Topic interests, such as solar energy, clean water, research, or policy
What you can add to your profile later
Your member profile can hold more detail. All of it is optional, and you can edit or clear it at any time:
- Major, graduation year and semester, and whether you are an undergraduate or graduate student
- Education history and areas of specialty
- A LinkedIn URL and a short bio
- A profile photo, which is resized in your browser before it is uploaded and then stored in our file storage
Signing in with Google or Microsoft
You can sign in with a Google or Microsoft account instead of a password. If you do, that provider tells us your email address and basic profile information so we can create or match your account. We do not receive your password, and we do not get access to your mail, files, or contacts.
What the site records as you use it
Being a member generates activity data. We use it to run the chapter and to show you your own history:
- Event RSVPs and check-ins
- An activity log of actions taken in the member portal
- Points, level, and achievements earned through participation
- Posts and likes in the member feed
- Projects you belong to, along with tasks and updates you post
- Contributions you record toward an event goal, such as funds raised or items collected
- When you joined and when you were last active
Trek applications
Applying for a trek collects more than a normal signup does, because international travel requires it. A trek application stores the written essay you submit, your fundraising goal and the amount raised so far, and whether you have confirmed your passport, travel insurance, and required training. Officers who administer treks can see this.
How the organization assesses membership
We want to be direct about this rather than leave it out. To manage the chapter, officers maintain internal notes and assessments attached to member records. These can include an engagement trend, a numerical risk score indicating whether someone appears to be disengaging, a flag for whether someone is considered ready for promotion, an assigned mentor, succession notes, and how you first heard about us.
This information is used to decide where to offer support, who to invite into leadership, and how to plan for officer turnover. It is visible to officers with the relevant access, not to the general membership, and never to the public. You can ask to see what is recorded about you.
Administrative changes made in the portal are also written to an audit log, which records who made a change and what the values were before and after.
Guests at events
Some events let members add a guest by name so we know who to expect at the door. If you are added as a guest, we hold only your name and the event it relates to. Ask any officer, or email us, and we will remove it.
Who we share it with
We do not sell your information, and we do not share it for advertising. We use a small number of service providers to run the site:
- Supabase — hosts our database, accounts, and uploaded files
- Vercel — hosts the website, and provides aggregate traffic analytics that do not use cookies and do not identify individual visitors
- Google and Microsoft — only if you choose to sign in with one of them
What is shown publicly
Most of what we hold is private to the organization. The public site shows information only for officers, and only once a profile has been marked as published: name, role, photo, education or major, specialties, a short bio, and a LinkedIn link. General members do not appear on the public site.
Your choices
You can view and edit most of your information from your profile in the member portal at any time. You can also ask us to correct anything, send you a copy of what we hold about you, or delete your account and its associated data. Email us and we will handle it promptly. Some records may be retained where we are required to keep them, or in an anonymized form that no longer identifies you.
